• Assisting the Line Manager in managing all Center related activities to academic advising. • Liaising with the students and the faculty members to determine the types of subjects and workshops needed to be offered by the Center. • Organizing workshops on academic advising matters for both faculty members and students. • Following up the daily administrative work of the Center and providing Line Manager with the requests about appointments and tasks associated with it. • Arranging meetings with students, faculty members, Heads of Departments, Deans and Directors on related to academic advising. • Receiving and reviewing documents, reports and correspondence towards the Center and keeping a track record of information about the relevant materials on related to academic advising. • Responding to internal and external requests for academic advising related reports and data submissions timely. • Assisting in the development and review of the annual AAC operational plan. • Assisting in drafting the annual report of AAC. • Providing academic advising data and supporting materials for accreditation processes. • Printing, copying and distribution of documents whenever needed on related to academic advising. • Monitoring all relevant documents on related to academic advising and ensuring they are up to date and error-free. • Preparing minutes of meetings and follow-up on implementation of action items on related to academic advising. • Following up and preparing monthly and any periodic report required from time to time. • Maintaining the files and documents related to the Center. • Contribution to the University’s efforts and to deliver its key performance indicators for academic probation, student retention, student progression, and program completion. • Collaborating with College Deans and Heads of Departments to plan and coordinate all the academic advising efforts and activities in the University. • Work in collaboration with Heads of Departments and academic advisors to identify students who are under academic probation or at risk, to track their progress and to provide them with regular academic and support. • Guide and encourage the students to register their courses based on their study plan and register maximum credits hours per semester during the registration and ADD/Drop Weeks. • Serve as a resource for faculty members regarding issues of academic advising. • Help students with registration issues. • Encourage academic advisors to follow up with their Advisees to register the maximum credits based on the study plan. • Provide advice and keep following up with students in their fields of study. • Identify improvement opportunities and best practices in academic advising and share it with academic advisors and students. • Monitor the academic performance of students on probation or at-risk and follow up with Academic Advisor to prepared academic plan for such students on the required support needed. • Directly follow up with students with zero or low enrolment. • Communicate with colleges, academic advisors, admission and registration department, students’ services, and other ASU bodies to ensure that issues outside the academic domain are addressed and a clear plan is drafted to help the students. • Keep track of all correspondences and share the investigation outcomes with academic advisors and other relevant ASU bodies. • Follow up with the Dean offices to make sure that all students have academic Advisors within the same filed of the student program. • Prepare all reports related to students’ registration, academic advisors, and students’ performance. • Prepare all benchmarking reports related to academic advising, students’ registration, academic advisors, and students’ performance. • Follow up with the Academic Advisors on the minutes of the advisor/Advisee meetings and make sure requires advisor-student meetings at least twice each regular semester – one during the advising week at the beginning of the semester and the other during the pre-registration period during the semester. These meetings enable discussion and monitoring of advisees’ academic performance. • Follow up with the Dean offices to reduce the ration of Advisor to Advisee to be align with ASU strategic plan. • Prepare the warning letters for under probation students that must be signed by the students and his advisors with a clear academic plan to increase the student’s academic performance. The copy of the warning letter will be sent by the Center to students Email for record. • Prepare the Advising and Registration plan yearly and share it with Academic Advisors • Monitor the Advising module in Logsis and suggest improvement. • Keep truck on the comments of Advisors and (Walk in ) appointments in logsis. • Prepare and handle the Program of (Introduction to University Life) during the induction week of each semester for new students. • Manage the Academic Advising Section webpage by adding the following (Important questions, Rules of Advisor and Students, study Plans and others) • Work closely with Senior Advisor per program during the admission and registration weeks. • Prepare the forms and template related to Academic Advising • Deal with students’ complaints related to Academic Advising • Monitor the performance of students GPA less than 2.3 and provide the necessary advising (Pro Active Advising) to don’t let them be on probation. • Assisting in other Center related activities as assigned by the Linge Manager.
