Compensation and Benefits:
1. Collate information for processing the monthly payroll.
2. End to end processing of employees payroll in consultation with consulting Line Manager and submitting it to Finance department on time
3. Gathering and entering details related to the unpaid leave, sick leaves etc. for processing the payroll.
4. Preparing the bank details for crediting the salary in the respective bank accounts.
5. Calculate the overtime allowances, official trip, other allowances and reimbursements.
6. Prepare the Social Security Insurance for Employees (only Omanis).
7. Preparing final settlement for employees at the time of leaving the University.
8. Coordinating with insurance company for adding the medical and life insurance of new joining employees.
9. Coordinating with insurance company for cancelling the medical and life insurance of resigned employees.
10. Providing data for preparing the reports required by the management.
11. Following up the claims and reimbursements of the employees with the insurance company.
12. Collate information for processing the Ticket.
13. Prepare report and follow up of all procedures related to the staff attendance and absenteeism with consulting HR director.
14. Gathering and entering all relevant information related to leaves in the system and follow up the staff leave balance to avoid accumulation.
15. Coordinate internship application to get approval & provide certificate for trainee.
16. Preparation certificate (experience and employment).
17. Filen the documents in employees files.
18. To complete any other duties and responsibilities when requested by the management, which are commensurate with this role.
HR Administration:
1. Complete all recruitment and selection procedures as requested.
2. Execute HR administration activities, letters, reports and post recruitment procedures.
2. Implements and handles the administration of staff separation to ensure exit management process are smooth.
3. Responsible for handling all the issues related to leaves, staff attendance and personnel orders.
4. Provide HR data and staff analysis reports upon request.
5. Responsible for handling staff transfer, rewards, recognitions and preparation of staff related Management Decisions.
6. lead Training program preparation and implementation.
7. Responsible of employees personal files management and maintenance.
8. Maintaining updated employees’ data in the HRMS (LOGOS).
Orientation and Induction of Employees:
1. Coach and mentor new employees as a part of their on-boarding in order to ensure they understand and embed ASU culture.
2. Ensure that all employee documentation is maintained properly and kept updated in order to facilitate timely and easy retrieval of information.
Conflict Resolution:
1. Analyze and address employee relations issues by acting as the first point of contact in order to resolve conflicts.
2. To observe confidentiality in dealing with staffs at all levels.
Employees Grievances:
1. Participate in the investigation of employee grievances and assist in the resolution of disciplinary or grievance cases in line with the policies and procedures.
2. Prepare reports related to the grievances and ensure that it has been documented.
External Relations:
1. Liaise with the Ministry of Labour, PASI and legal advisors via memos, letters, and meetings, in order to promptly resolve any required paperwork or formalities with external parties.
Investigation & Correction Actions:
1. Providing advice and support to line managers on all HR practice issues, ensuring that this advice constitutes good practice and in line with current legislation.
2. To assist in the review and development of new and revised policies and procedures relevant to current employment legislation that actively supports the aims of the University and also ensuring that it fits within the University culture.
Severances:
1. Responsible for handling all types of employee’s severances and conducting the exit interviews for the departing employees.
Reports, Staff Satisfaction and Continual Improvement:
1. Responsible for check and boost staff satisfaction.
2. Prepare severance statistics and turnover report.
3. Analyze the feedback from regular employee satisfaction surveys & suggest implementation of action steps.
4. Contribute to the identification of opportunities for continual improvement of systems, processes and practices taking into account leading practices, improvement of processes and productivity improvement.
Other:
