Job Function

Responsible for processing the invoices, cheques, petty cash payments, bank reconciliations, general ledger entry etc.

Responsibilities

a) Processing of Invoices The following steps to be followed for processing the invoices for payment: • Maintain the Payable Management Log Book (PMLB) • Receive supplier’s invoices • Post and enter into the PMLB the particulars of invoice • Check the mathematical accuracy of each supplier invoice • Receive GRN/PO and other supporting from other departments. • Compare the nature, quantity and prices of all items ordered per the Supplier invoice to the purchase order and Goods Received Note if applicable. • Verify the general ledger distribution, using the university’s chart of accounts. • Verify the approval of the department head (or their designee) associated with the goods or services purchased. Approvals shall be documented with initials or signatures of the approving individual. b) Processing Cheques and Petty Cash Payments • Forward processed cheques to the Sr. Accountant (financial controller) for review and recommendation and then to Finance Director/Deputy Finance Director for review and approval. Approved cheques are forwarded to authorized signatories for signature. • Sends the approved cheques to the respective suppliers/banks for further transmission. • Reconcile the disbursement report provided to the bank to the bank’s mismatched and rejected items. All imbalances are investigated. • Enter each cheque data in the ASU’s Accounts Payable System. c) Bank Reconciliations • Reconcile bank account and reviews its contents for unusual or unexplained items, such as unusual endorsements on cheques, indications of alterations to cheques, etc. Unusual and unexplained items shall be reported to the Finance Director/Deputy Finance Director immediately. • Bank reconciliations are performed by printing the respective GL report(s) (through the existing Finance system) and reconciling between the GL, the bank statement and all journal entries (i.e. bank fees, credit card fees etc.) posted (by the Finance department) for the respective bank accounts. • Reconciling items not posted and carried as outstanding are proposed to the respective department heads responsible for the bank accounts and investigated. d) General ledger Entry • To enter the journals, sales, purchase, salary and provision journals in the Accounting system. • To reconcile the General ledger balances on monthly basis with internal records and third party balance confirmations. • To reconcile the exceptional ledgers-payroll, purchase in coordination with the respective departmental staff. • Perform other related duties as assigned or requested. e) Monthly Management Accounts • Generate Monthly Trial Balance and prepare a grouped trial balance. • Forward grouped trial balance to the Financial Controller/Sr. Accountant for the review and preparation of monthly accounts • Support FC in monthly accounts process by providing details of expenditure made and reasons for variance from budget. f) Fixed Assets Register Additions • Receive invoice, freight, transit insurance, custom duty, and clearing and forwarding charges bill from respective service providers • Receive DN duly accepted and installation certificate from the Purchasing and Stores Department, verify with PO and invoice • Identify the asset item with related PO, invoice and other expenses incurred up to the point of installation • Record the invoice price, other related costs, date of purchase, description of item, location and quantity against the respective asset code and generate the value of the asset • Advice Procurement Department to update the Fixed Asset Register Relocation of assets • Receive copy of the approved AMF from the current location and update the Fixed Asset Register with the revised location Disposal/sale of assets • Receive approved FADF and supporting documents/sale invoice from the Purchasing and Stores Department (or intimation of lost book from the Library) • Update the Fixed Asset Register • Generate JV to record profit or loss on sale/disposal of assets and forward to appropriate authority after verification • Forward to Sr. Accountant • Any other related tasks assigned by line manager.

Experience

Minimum of 1 years’ experience in the closely related field.

Skills

1. Excellent communication and computer skills. 2. Fluent in English and Arabic. 3. Good analytical skills

Qualification

Bachelor degree from an accredited university in relevant or related field.
