To supervise the Office of the Deputy Vice Chancellor – Resources & Community Services (DVCRCS) efficiently and effectively, providing high-quality secretarial, administrative support to ensure smooth operations across all stakeholder groups.
Duties and Responsibilities
Administrative & Executive Support
• Directorate Meetings: Organize, schedule, and coordinate Directors' meetings; prepare agendas, record minutes, and systematically track all outcome action items to completion.
• Executive Committee Outcomes: Take all necessary actions regarding decisions and outcomes from Executive Management Committee meetings, liaising directly with concerned departments and individuals for execution and follow-up.
• Visitor Management: Receive visitors to the Vice Chancellor and Deputy Vice Chancellor offices; assess, report, and act on their needs, ensuring appropriate follow-up and hospitality.
• Correspondence & Analysis: Analyze incoming and outgoing internal and external correspondence, draft key documents, and prepare official decisions or announcements as required.
• Reporting & Mail Review: Review incoming mail, routine documents, and reports for accuracy and completeness prior to forwarding them to the DVCRCS.
• Records Management: Maintain high standards of filing, archiving, and confidential record-keeping for all office communications and administrative decisions.
• Committee Coordination: Serve as the designated Committee Coordinator, responsible for managing meetings, accurately recording minutes, tracking action items, and preparing required progress reports.
Follow-Up & Coordination
• Track and monitor progress on all tasks, decisions, and correspondence delegated by the DVCRCS to other departments.
• Follow up on decisions and institutional directives issued directly by the DVCRCS.
• Handle additional administrative duties and special projects as assigned by line management.
