Job Function
To provide administrative and organizational support to ensure the efficient execution of major institutional events by coordinating administrative, technical, and logistical operations in collaboration with relevant parties.
Responsibilities
- Coordinate the administrative and organizational aspects of university events.
- Prepare and follow up on official event documents, invitations, attendance lists, meeting minutes, post-event reports, and operational templates.
- Coordinate with internal and external parties to ensure event elements are integrated and executed effectively.
- Oversee venue preparation in terms of logistics (e.g., seating, stage, hospitality and decorations) and ensure readiness before and during the event.
- Participate in the technical management of the event by coordinating with teams responsible for sound, lighting, visual systems, and control room operations.
- Follow up and monitor the execution of technical and service contracts related to the event in coordination with relevant institutional departments.
- Organize field teams and volunteers, assign roles, and provide administrative and logistical support throughout the event.
Document and archive all data and information related to each event in well-organized electronic records for future reference.
Experience
Practical experience is preferred in administrative work, event coordination, or logistical support.
Skills
- Strong organizational and planning skills.
- Effective verbal and written communication skills in both Arabic and English.
- Proficiency in using computers and Microsoft Office applications.
- Ability to work under pressure, manage multiple tasks and perform overtime hours.
- Flexibility in working with diverse teams and coordinating with internal and external stakeholders.
Qualification
Diploma in Event Management, Business Administration, Public Relations, or any related field.
