Job Function
To plan, direct and implement for providing transportation, hospitality, postal and clinic services, with using the latest state of the art concepts, tools, and technologies, monitoring & controlling risks, which contributes to Providing distinguished and satisfactory services for all.
Responsibilities
Operational Planning:
- Contribute to the preparation of the department budget and plans in collaboration with the AAD Director.
- Recommend improvements to all manuals relevant to section and assist the AAD Director in the implementation of procedures and controls covering all areas of activity so that all relevant procedural requirements are fulfilled
- Lead the execution of the (OP) actions, ensuring all tasks are completed efficiently and effectively.
- Delivering a quality, cost-effective service.
Performance Management:
- Responsible for preparation and submission of quarterly section reports and the annual section report, ensuring accuracy and timeliness
- Identify opportunities for improvement in the ERP system and propose actionable recommendations to enhance system performance and user experience.
- Mentor and train junior staff within the section, fostering their professional growth and ensuring they are equipped with the necessary skills and knowledge.
- Monitor and follow up on all cases within the section, ensuring timely resolution and proper documentation.
- Coordinate with other departments and faculties to identify their needs and maintain strong, positive relationships with ASU community.
Services Management:
- Supervising the process of the entire transport fleet, from determining movement, good use, maintenance and insurance requirements in accordance with the policies followed.
- Follow up the commitment of users of university vehicles to the use controls in accordance with the policies of the transport regulation
- Managing student transport contracts by continuously following up on the terms of the service contract for students for various purposes and periodic inspection of buses used.
- Optimal employment of the costs of transporting incoming and outgoing mail with the importance of documenting mail documents and ensuring the accuracy of time in that.
- Preparing a database of non-contracted student transport and hospitality service providers to ensure the provision of service in emergency cases.
- Documenting requests for services provided by colleges and departments with approvals in accordance with the policies and procedures followed.
- Review requests for the provision of services permanently and work on continuous improvement in their provision.
- Developing the work of the clinic and diversifying the provision of preventive health services provided to the university community.
Other:
- Works effectively as a team member with other members of management and the AAD staff.
Any other related duties assigned by line manager
Experience
Minimum of 5 years of relevant experience in a similar discipline.
Skills
Effective communication with all parties related to work inside and outside the university.
- Familiarity with the Manuals, work procedures, and the table of authorities granted to various administrative levels at the university.
- Writing official correspondences and emails in both Arabic and English.
- Preparing reports and meeting minutes.
- Ability to work under pressure and to deal with different people.
- Leadership and people management skills and Excellent communication and computer skills.
Qualification
A Master's or Bachelor's degree in Business Administration or Management.
